Where customers lose visibility
A car can spend days in the workshop with little visible progress.
The first inspection often changes the scope of work. A customer who only heard the original estimate may not know whether the car is waiting for a part, being repaired or ready to collect.
Phone calls interrupt technicians, yet a short 'still working on it' answer rarely tells the owner what was found or what happens next.
What a progress page changes
Give each job a dependable record of progress.
Use a stage such as 'Waiting for parts' when that is the real status. Add a dated note and a photo of the affected component so the owner can understand the delay.
Move the job to quality check only when work is complete. The customer sees the current stage and earlier updates in order, while your team controls what is published.
A workflow you could start with
These are examples. You can rename, add, remove or reorder stages for each tracking without changing other jobs.
Add a separate waiting stage when a part or customer decision holds the job; do not make 'repairing' cover a period of inactivity.
A useful customer update
We found wear on the front brake pads during inspection. Replacement is scheduled after the parts arrive; we will post the next update once they are fitted.
Separate diagnosis from the repair.
A stage change should say what has actually happened. If the scope changes, explain it in an update rather than silently moving to a later stage. Trackroom shows progress; obtain repair approval through your normal channel before work that requires consent.
Questions from this kind of work
Can I add a waiting-for-parts stage to one car only?
Yes. Edit that tracking's stage list without changing the saved workflow or other vehicles. Earlier progress updates remain with the job.
Will Trackroom ask the owner to approve extra repairs?
No. The customer page is view-only. Share the diagnosis there, then use your existing call or message process for approval.
